Dubai has hundreds of interior fitout companies. Walk through Business Bay or JLT and you will find offices promising complete turnkey solutions on every floor. The challenge is not finding a fitout company — it is finding the right one.
The difference between a smooth, on-time delivery and a project that runs three months over budget often comes down to a handful of questions that most clients never think to ask. After more than 20 years of delivering fitout projects across the UAE, we have seen what goes wrong — and more importantly, what prevents it.
This guide gives you the exact questions to ask any fitout company before you sign a contract. Use it as a checklist.
1. Do You Have Your Own Factory and Joinery Workshop?
This is the single most important question, and most clients never ask it.
Many fitout companies in Dubai act as project managers — they outsource all fabrication to third-party workshops. This is not necessarily bad, but it means they have limited control over quality, lead times, and costs. When something goes wrong with a custom shelf unit or a bespoke reception desk, they are waiting on a supplier just like you are.
A company with its own in-house factory controls every stage of fabrication. They can respond to site changes quickly, maintain consistent quality standards, and deliver faster because there is no supply chain between drawing and production.
Ask to see the factory. A confident fitout company will invite you.
2. Can You Show Me Three Completed Projects in My Sector?
General portfolio images are not enough. A company that has completed twenty luxury villas may not understand the operational pressures of fitting out a retail boutique in a live mall environment. Ask for projects specifically in your sector — retail, office, F&B, or residential — and ideally at a similar scale to yours.
When they show you the portfolio, ask to speak with one of those clients directly. A company proud of its work will facilitate this without hesitation.
3. Who Will Be My Single Point of Contact?
One of the most common complaints in fitout projects is the communication breakdown between design, procurement, and site teams. You send an email to the designer about a material change — it never reaches the site supervisor. By the time the error is caught, the wrong tiles are already installed.
Ask specifically: will I have one named person responsible for my project from sign-off to handover? What are their working hours? What is the escalation process if I cannot reach them?
4. How Do You Handle Scope Changes Mid-Project?
Scope changes are inevitable. A wall that looked fine on paper turns out to conceal a structural beam. The client decides to add a glass partition that was not in the original design. How a company handles these moments reveals everything about their professionalism.
Ask to see a sample change order document. It should clearly state: what changed, why it changed, the revised cost, and the revised timeline impact. If they cannot show you a formal process, variation costs will become a source of conflict.
5. What Does Your Quotation Actually Include?
A low quote that wins the tender often becomes a very expensive project by handover. Ask them to walk you through every line item. Specifically ask what is not included — MEP works, authority approvals, snagging, as-built drawings.
A transparent company will give you a detailed bill of quantities (BOQ). If the quote is a single lump sum with no breakdown, walk away.
6. How Do You Manage Authority Approvals?
In Dubai, most commercial fitout projects require approvals from building management, Dubai Municipality, Civil Defence, and sometimes the master developer. These approvals take time — sometimes weeks — and delays here cascade through the entire project timeline.
Ask who handles approvals, how long they typically take, and what happens to your contract dates if an approval is delayed. An experienced company will have an established relationship with approval bodies and a realistic timeline built into their proposal.
7. What Is Your Warranty Policy?
Once the fitout is complete and you have signed the handover document, what happens when a drawer hinge breaks six months later? Or a section of gypsum ceiling develops a crack?
Ask for the warranty terms in writing before you sign. A reputable company offers a minimum 12-month warranty on workmanship and will have a defined process for raising and resolving defects.
8. Do You Carry the Appropriate Insurance?
Your fitout company should carry contractor all-risk insurance and public liability insurance for the duration of your project. If a worker is injured on site, or if damage is caused to an adjacent unit during demolition, you need to know that your contractor — not you — is liable.
Ask for a copy of their insurance certificate. If they hesitate, this is a serious red flag.
9. What Happens If You Miss the Handover Date?
Many clients accept a handover date on the proposal without asking what the contractual consequences are if it is missed. If you are a retailer who has announced an opening date, a two-week delay can mean lost revenue, staff costs, and reputational damage.
Ask whether a liquidated damages clause can be included in the contract. A company confident in its delivery track record will not object to this.
10. Can I Visit a Current Live Project?
Seeing a completed project is valuable. Seeing a live project is even more telling. The organisation of the site, the cleanliness, the behaviour of the workers, the presence or absence of a site supervisor — these tell you more about a company's standards than any brochure.
Ask if you can visit a project that is currently in the execution phase. Their answer — and the state of the site — will tell you everything.
Conclusion
Choosing a fitout company in Dubai is one of the most significant decisions you will make for your space. The right partner will deliver a result that elevates your brand and works perfectly for years. The wrong one will cost you time, money, and stress that could have been avoided.
Use these ten questions as your checklist. Any company that answers all ten with confidence and transparency — and backs those answers with documentation — is worth serious consideration.
